Set Up Business Email on Phone and Outlook (IMAP/SMTP)
Published · 6 min read
You have a professional address like info@yourcompany.com, and now you want it on your phone next to WhatsApp and in Outlook on the office PC. This guide shows how to set up business email on phone and Outlook step by step: iPhone Mail, the Gmail app on Android, Outlook for desktop and mobile. It also explains IMAP vs POP3, gives the correct ports, and covers the errors owners and staff hit most often. Examples use mail hosted on Orderatk, but the same ideas apply to any IMAP/SMTP service. Haven't created your address yet? Start with how to create a business email with your domain.
What you need before you set up business email on your phone
- Your full email address, e.g. sales@yourcompany.com.
- The mailbox password, not your control-panel password.
- Username: always the full email address, not just the part before the @.
- Incoming and outgoing server: mail.orderatkeg.com for both.
Many mail apps support automatic configuration: type the address and password and they fill in the rest. If not, use the manual settings below.
IMAP, POP3 and SMTP ports
| Service | Server | Port | Encryption |
|---|---|---|---|
| IMAP (incoming, recommended) | mail.orderatkeg.com | 993 | SSL/TLS |
| POP3 (incoming) | mail.orderatkeg.com | 995 | SSL/TLS |
| SMTP (outgoing) | mail.orderatkeg.com | 465 | SSL/TLS |
| SMTP (outgoing, alternative) | mail.orderatkeg.com | 587 | STARTTLS |
The outgoing server requires authentication with the same username and password. Avoid unencrypted ports such as 143, 110 or 25.
IMAP vs POP3: which should you choose?
- IMAP keeps messages on the server and syncs every device. Read a message on your phone and it shows as read in Outlook and webmail; send from the PC and it appears in Sent on your phone. Lose your phone and your mail is still safe.
- POP3 downloads messages to one device and often removes them from the server. Sent mail stays on the device that sent it. It suits only a few cases, such as a single archive PC that needs a local copy.
Recommendation: use IMAP everywhere. Mixing IMAP on one device and POP3 on another is the classic cause of "my emails disappeared".
A real-world example: a repair shop owner in Nasr City added his mailbox to the shop PC with POP3, then to his phone. Customer emails stopped reaching the phone because the PC was downloading and deleting them first. Re-adding the account on the PC as IMAP fixed it.
Add business email to iPhone Mail
- Open Settings › Apps › Mail › Mail Accounts (older iOS: Settings › Mail › Accounts).
- Tap Add Account › Other › Add Mail Account.
- Enter your display name, full address, password and a description, then tap Next.
- Choose IMAP.
- Under Incoming and Outgoing Mail Server enter host mail.orderatkeg.com, your full address as username, and your password.
- Tap Next, keep Mail switched on and tap Save.
To check ports, open the account › Advanced: SSL on, port 993 incoming; SMTP port 465 with SSL. Under Advanced › Mailbox Behaviors, map the Sent mailbox to the server's Sent folder so sent mail appears on all devices.
Add business email to the Gmail app on Android
- Open Gmail, tap your profile picture › Add another account.
- Choose Other, enter your full address and pick Manual setup if offered.
- Select Personal (IMAP).
- Enter the password; incoming server mail.orderatkeg.com, port 993, SSL/TLS.
- Outgoing server mail.orderatkeg.com, port 465 SSL/TLS (or 587 STARTTLS), with "Require sign-in" on.
- Choose sync frequency and notifications, then set the name recipients will see.
Other Android mail apps, including the built-in mail app on some phones, follow almost identical steps.
Set up business email in Outlook
Outlook on Windows or Mac
- Go to File › Add Account (new Outlook: Settings › Accounts › Add account).
- Enter the full address; under advanced options choose Let me set up my account manually.
- Choose IMAP.
- Incoming: mail.orderatkeg.com, 993, SSL/TLS. Outgoing: mail.orderatkeg.com, 465 SSL/TLS or 587 STARTTLS.
- Enter the password, connect, and wait for the folders to appear.
Afterwards, confirm that sent items are saved to the account's Sent folder on the server, not only to a local folder.
Outlook mobile app
Tap Add account, enter your address, and if the app guesses a different account type, switch to IMAP and enter the manual settings from the table.
Prefer not to install anything? Webmail with an Arabic interface is always available at webmail.orderatkeg.com, ideal on a shared computer or while travelling.
Troubleshooting business email on phone and Outlook
Wrong password or "authentication failed"
- The username must be the full address (info@yourcompany.com), not just "info".
- Pasting can add a hidden space at the start or end; type the password manually if the error repeats.
- Use the mailbox password, not the control-panel password.
- If an admin changed the password in the panel, update it on every device.
- Make sure authentication is enabled for the outgoing server.
Port blocked or "cannot connect to server"
- Some office, hotel and café Wi-Fi networks block outgoing mail ports. Try 587 STARTTLS instead of 465, or the reverse.
- Switch to mobile data to see whether the network is the problem.
- Check the server name for typos or spaces.
- Antivirus "email scanning" on a PC can interfere; disable it briefly to test.
SSL certificate errors
- Use mail.orderatkeg.com exactly. Another name such as mail.yourcompany.com may trigger a warning because the certificate does not match.
- Check the device date and time; a wrong date makes any certificate look expired.
- Don't accept "continue anyway" without knowing why, and never switch to an unencrypted connection.
- Update very old phone systems or Outlook versions that lack modern encryption support.
Mailbox full, mail not arriving
- Each mailbox has a size within your plan's storage. Open webmail and delete messages with large attachments.
- Empty Trash and Junk (both are also emptied automatically after 30 days).
- An account admin can raise the mailbox size within the plan from the control panel.
Sent items not syncing
- Make sure every device uses IMAP; with POP3, sent mail stays on the sending device.
- iPhone: Advanced › Mailbox Behaviors › map Sent to the server folder.
- Outlook: in account settings, save sent items to the account's Sent folder.
- If you see both "Sent" and "Sent Items", pick one and use it in every app.
Mail sends but lands in the recipient's spam
That is a domain issue, not a phone setting. Read why your emails go to spam, add the SPF, DKIM and DMARC records shown in your panel, and see where to add them on our connect a domain page. There is also an hourly send limit per mailbox to protect other users, so don't run large marketing campaigns from a normal mailbox.
Security tips after setup
- Use a screen lock on any phone with company mail.
- When someone leaves, change their mailbox password in the panel; mail stops on all their devices.
- Never store mail passwords in notes or WhatsApp chats.
- Enable two-factor login on the control-panel account that manages the mailboxes.

FAQ
What are the IMAP and SMTP settings for Orderatk email?
Server mail.orderatkeg.com; IMAP port 993 with SSL; SMTP port 465 with SSL or 587 with STARTTLS; the username is the full email address.
Should I use IMAP or POP3 on my phone?
Usually IMAP, because it keeps mail on the server and in sync across phone, computer and webmail.
Can I add my business email to the Gmail app?
Yes. In the Gmail app choose Add another account, then Other, then Personal (IMAP), and enter the server settings.
Why does my email app say the password is wrong when it is correct?
Often the username is not the full address, a space was pasted with the password, or authentication is off for the outgoing server.
Why don't my sent emails show on my phone?
One device is using POP3, or the app saves sent mail to a local folder instead of the server Sent folder.
